2. What we collect
- Enquiry details — your name, email, phone number, property address and what you tell us about the property.
- Conversation data — the messages you exchange with KJ, our AI assistant, and any photos or documents you upload.
- Account data — if you sign in, your email address and role on the platform.
- Technical data — IP address, device and browser type, pages visited, and the source that brought you to the site.

4. Who we share it with
- The surveyor instructed on your job — they receive the details needed to carry out the site visit.
- Service providers who host our platform, send our email, process payments and provide AI services, all under contract and only on our instructions.
- Professional advisers, insurers and regulators where we are required to share.
We never sell your personal data.
5. Address lookup
Our address finder sends the characters you type, and the postcode you search, to a third-party address service so it can return matching UK addresses. It does not receive your name or contact details.
6. International transfers
Some of our suppliers process data outside the UK. Where they do, we rely on UK adequacy regulations or the International Data Transfer Addendum to the EU standard contractual clauses.
7. How long we keep it
- Enquiries that do not become jobs: 24 months.
- Completed jobs and reports: 6 years from completion, to meet our professional and insurance obligations.
- Accounting records: 6 years.
- Marketing consents: until you withdraw them, plus a suppression record so we do not contact you again.
8. Your rights
You have the right to access your data, to have it corrected or erased, to restrict or object to processing, to data portability, and to withdraw consent. Email info@kjsurveyors.com and we will respond within one month. If you are unhappy with our response you can complain to the Information Commissioner's Office at ico.org.uk.
9. Cookies
We use cookies that are strictly necessary to keep you signed in and to keep the site secure. Analytics and advertising cookies are only set where you have agreed to them. You can clear or block cookies in your browser, though the signed-in areas of the site will not work without the necessary ones.
10. Security
Data is encrypted in transit, access is limited to staff who need it, and platform access is protected by role-based permissions and audit logging.

If we change this policy we will update the date at the top of this page and, for significant changes, tell you by email.
